Planning a company party?
Company parties are a great way to bring employees together and strengthen the company culture. As a social break and an opportunity to get to know each other outside the office, company parties are more important for the company than you might think.
Whether you are a CEO, manager, or employee, company parties are an investment in the most important resource you have: your employees.
Attending company parties is (usually) always fun. Planning one, on the other hand? There is a lot to think about when arranging a company party. Entertainment, theme, activities, games, music, budget… Here are some tips, tricks and ideas to help you get started.
Start planning early
Start at least six months in advance, maybe 12 if you’re planning a big event. Planning a company event involves waiting for answers, clarification from others, and approval from management. The bigger the event and the more employees you have, the earlier you should start.
By being early, you avoid unnecessary stress and surprises. Having too much to do and too little time to do it not only contributes to stress. It can also lead to unnecessary costs or too little time to find an alternative to what you originally had planned.
Break it down
When planning an event, whether you’re doing it solo or with a big team, it’s important to have a clear understanding of all the tasks that need to be accomplished.
To make the process more manageable, create lists to break down the tasks into smaller, more achievable steps. This will also help you keep track of deadlines, monitor progress, and identify what still needs to be done. Prioritize tasks based on their level of urgency.
Set a budget
First and foremost, you need to set a budget. Finding out how much money you have as early as possible is key. Knowing how much you can spend can quickly become complicated if you do not have a budget frame.

Allocate the budget
Decide how you will allocate the budget and stick to it! One of the biggest challenges when planning an event is sticking to the budget. A study from 2019 showed that 44.8% of those who did not use an event agency ended up going over budget for their event.
Get an overview of what things cost. A good tip is to weigh the scale according to what is most important for the company and your colleagues’ expectations.
Speaking of expectations: Ask colleagues and get feedback from previous company parties before you plan too much. This will give you an idea of what colleagues expect and how you can create a better party than last time.
Set the date
With many employees, finding a date that suits everyone is almost impossible. Make a poll to get an indication of what date is the most fitting. A quick and easy way to set the date is to create a poll in Outlook. Suggest 2-3 different dates.
Send the invitation as early as possible! People often have plans far in advance. Remember to set a deadline for the reply.

We created the concept and theme “Meroes” for the EV-charging company Mer. Mer wanted to focus on their employees, build corporate culture, and get to know each other.
With a clear and engaging theme, we handled all concept development down to the details, decorations, food and drink, entertainment, and music.

Some suggestions for activities are karaoke, quizzes, and party games.
If your want to spice up the company event even more, we’re just a phone call away. We’ll assist in setting up activities and content that engage – in line with the company, the budget, the number of participants, or all combined.
One example is the event, Volue Gathering. After several acquisitions in recent years, Volue wanted a gathering where the company was united around their new values. Inspired by the company’s goals and values, we set up three cabins with different tasks in each cabin. The employees worked on group tasks where they had to use knowledge from their work life to solve them creatively and effectively.
The feedback on the activities was exclusively positive.

Music and Entertainment
Music and entertainment are like salt and pepper. Without it, it can become tasteless and bland.
